Our Services

Our aim is to make your experience a rewarding and pleasant one. We offer planning, registration, facility preparation, professional on-site management, food service provision and a host of additional services to make your event outstanding.

If you choose to hold an event with the Office of Continuing Education through its Conference and Meeting Program, you receive a number of coordinating services at no charge. We will develop a registration form for you with your input. We coordinate facility usage (including setting up your room) and on-site management, transportation needs, lodging, telephone inquiries, meals and breaks, and access to av equipment. We offer free access to the Internet; let us know in advance and we will make sure you have Wi-Fi access. And, on top of that, our parking is free and only a short walk to any of our facilities.

Details

Catering – Food must be purchased through Continuing Education. There is a $75 fee to bring in food from outside of Continuing Education.

Rental Time – Rental time also includes time you need for preparing the space for your event.

Additional Charges – Normal charges will accrue if you do not cancel at least 2 weeks prior to the event. Additional charges will accrue for changes made within 3 days of event. Examples are room resets, additional equipment, food, or supplies.

Student Learning Center (SLC) – The SLC is used for Academic Programs. Space in the SLC may be available for special events providing an Academic Program is not using the space. Non-University groups can contact Continuing Education for more information on SLC usage.

Continuing Education Representative – There may be an additional fee accessed if additional personnel are needed for your event. Examples are IT, security, program monitor, etc. Contact Continuing Ed for pricing.

Internal Units Information

If you are an internal unit represented on the UGA Griffin Campus or through the College of Agricultural and Environmental Sciences, please review the information below regarding our pricing structure based on your event details. Space cannot be reserved for events more than 6 months in advance. There will be a $100 no-show fee assessed if reserved rooms are not utilized and CE has not been notified 2 weeks in advance of the cancellation.

Our registration package includes five ways for participants to register:

  • Internet (online)
  • Mail
  • Fax
  • Phone
  • At our office and on-site

Some of the services include:

  • Providing assistance with materials design
  • Providing regular registration reports
  • Processing registrations
  • Printing standard name badges (with holders) and tent cards
  • Responding to telephone and electronic questions
  • Providing and mailing registration receipt and one sheet of customized information
  • Collecting and processing special needs requests
  • Providing up to 5 copies of the final list of participants
  • Providing class rolls (when needed)
  • Set up and staffing on-site registration
  • Processing and invoicing purchase orders
  • Processing cancellations, substitutions, and refunds
  • Managing accounts receivables and returned checks
  • Marketing support

Our Rates for Registration Services:

  • Web Registration Link: $50
  • Registration Processing Fees:
    • $5 per person
    • Participant, Spouse and Guest badges — $3 each
    • Confirmation package (email confirmation – no charge; mail confirmation: $3 each)
    • Cancellations: $20 per cancellation processed
    • Copying: $.13 per page
    • Credit card processing fees: 5% of fees processed
  • Marketing Support: Charges varies here depending on your marketing request. You are direct billed for marketing products. Marketing services charged based on hourly staff time.
  • CEU Management
    • Certificates with Frames: $10 – $25
    • Transcripts: $10
  • Direct Cost Items: Often times there are special requests resulting from the uniqueness of your event. Charges resulting from those requests are not marked up. There may be associated credit card charges. Our goal is to keep your costs as low as possible.

Events Involving Nonparental Supervision of Minors

In accordance with the University of Georgia’s Policy for Programs and Activities Serving Minors, if you are a third party wishing to use UGA facilities and your program involves nonparental supervision of minors, you must complete the following steps before registering:

  1. Make sure you are registering with UGA at least 60 days prior to the start of your program.
  2. Complete UGA approved background checks on all of your program staff.
  3. Have all of your program staff complete required UGA and program-specific training.
  4. Have the program administrator provide proof of insurance, sign all facility use contracts, and provide 24 hour contact information.
